When Should You Start Building Systems and Processes?

Melissa says that during her coaching and consulting sessions, a lot of people get really overwhelmed with the amount of work that they do. Sometimes, we feel like we can do everything all the time, but it inevitably gets to the point that you need to hire someone because you’re spending way too much time doing something less important than other parts of the business.
If you don’t have systems and processes in place, it’s going to take you twice as long to hire somebody. Why? Because if you’re trying to train a new employee, you won’t have any references to look at. You forget a lot of things because most of them are just things you do from muscle memory. You might explain something to them, thinking that they already understand the entire picture. Having something there to help you teach the way you do your job goes a REALLY long way.
Tips on Creating Your Systems and Processes
Creating your systems and processes boils down to writing everything down, even things you don’t consider important. Again, you have the entire picture in your head, but the person you’re going to be training won’t, so it’s important to have to explain something even it seems so self-explanatory to you. What words do you say to get deals?
Other than putting them down on a piece of paper, you can also record videos of you doing the work (like if you’re training someone for the first time on Zoom.) You could also have someone transcribe the video and turn that into a step-by-step guide! Also, you can note things down digitally on your phone’s note app or more robust apps like Notion.
